What Are Project Management Process Activities?

Before we dive-in to look at the Process Activities and its benefits, let us consider the relationship between Project Life-Cycle and Project Management Processes. Project Life Cycle is what you need to do to complete the project or phase. Project Management Process is what you do to actually mange the project.

Each process has multiple INPUTS that results into multiple OUTPUTS. These processes are logically linked based on the OUTPUTS they produce. In fact there is a sequential process for managing a project. It includes the following five process groups where its efforts are engaged in a following sequence:

INITIATINGDuring this series process activities business case and benefits management plan is created to justify cost and time investments in the project. At this point the sponsor/s of the project are committed who are willing to financially support the project. Then, Project Manager is announced who will manage and coordinate all of the project activities. The project is then formally authorized for launch during the Initiating process.

PLANNING: During this process end-to-end project planning activities are performed. The plan will include the scope of the project, objectives and related course of actions. In addition it includes detailed plans about Cost Management, Schedule Management, Quality Management, Resource Management, etc..etc…

EXECUTING: During this process the actual work is completed as per procedures and processes described in the Project Management Plan and made ready to deliver the product or service to the customer. The final deliverables must meet the originally agreed upon project requirements. Hence a step-by-step checklist is important to keep at this stage.

MONITORING & CONTROLLING: This process group has a 360 degrees view and interacts with all process groups. The core functions of this process group is to ensure that the project progressing as originally planned. If there are any deviations from the planned targets or metrics, corresponding corrective and preventive actions should be taken immediately by creating the required change requests.

CLOSING: This is the final stage of process group to follow in sequence. During this process group, all of the project activities are finalized including all of the paperwork that needs to be completed and make ready for final sign-offs from the sponsors of the project. In addition to that Lessons Learned document is also finalized, best written by the stakeholders and later archived.
